Terms & Conditions

Clear and fair terms that outline how our services work, your rights and responsibilities, and the rules for using our website and digital services.

Last updated: 29 September 2026

Plain English, because you shouldn’t need a solicitor to order a website.

These terms cover two things: using this website, and working with me on a website, online shop, hosting or maintenance. Before any project starts we agree a written quote, and for larger or ongoing work you’ll also get my full Master Services Agreement to sign. If anything on this page differs from what we’ve signed, the signed documents win.

Who you’re dealing with

Web Club Studio is a trading name of Medisoma Ltd, a company registered in England and Wales (company number 13332396).

Email [email protected] or call +44 (0)7932 323209. On this page, “I” and “me” mean Medisoma Ltd.

I’m not registered for VAT, so nothing gets added to the prices I quote. If that ever changes, I’ll tell you before it affects any invoice.

I work with businesses

My services are for businesses, sole traders and organisations, not for consumers buying for personal use. If you’re buying as a private individual, tell me before we start. Nothing on this page takes away any rights you have by law.

Quotes and what’s included

Before I start, you get a written quote with the pages, features and the exact price. The price doesn’t move unless you ask for something that isn’t in the quote, and if you do, I’ll tell you what it costs before I do it. Approving by email counts.

Each website includes three rounds of changes. A round is one list of changes after I show you a design or a stage of the build. New pages, new features or a different concept aren’t changes, they’re new work.

Payment

  • Unless your quote says otherwise, a project is paid in full before work starts.
  • Hosting, maintenance and licences are billed monthly or yearly in advance.
  • Invoices for extra work are due within 14 days, unless the invoice says otherwise.
  • If an invoice is late, I can charge interest and compensation under the Late Payment of Commercial Debts (Interest) Act 1998. If hosting or maintenance stays unpaid, I’ll warn you in writing before pausing anything, and I won’t pause it earlier than 21 days after the due date.

If you cancel a project after I’ve started, I keep what covers the work already done and any costs I can’t get back, and refund the rest within 30 days.

What I need from you

Your text, photos, logos, access details and feedback, in reasonable time. By sending me material, you confirm you’re allowed to use it. If something turns out not to be yours to use, I’ll take it down as soon as you tell me.

If I don’t hear from you for 30 days, I may pause the project. After 90 days of silence, and after giving you 14 days’ notice, I may treat it as finished and hand over what’s been done so far, free of charge.

Launch and fixing problems

When the site is ready, you have 7 working days to tell me about anything that doesn’t match what we agreed. For 30 days after launch I’ll fix bugs in my own work for free. That doesn’t cover problems caused by plugin or theme updates, other people’s changes, or third-party services going wrong.

The site is yours

Once it’s paid for, you own the design and the custom work I made for your business. Some of the code I use is my own, built up over years and reused across projects. That stays mine, but you get a permanent licence to use and change it as part of your site, including with another developer.

A few things aren’t mine to give away:

  • Premium plugins and themes I run under my own licence stay licensed to me. If you move away from my hosting or maintenance, you’ll need your own licences, and I’ll tell you which ones.
  • Stock photos, fonts and other bought-in items come with their own licence terms.
  • Editable design files (such as Figma files) aren’t included unless your quote says so.

Domains I register for you are registered in your name. Once everything owed is paid, I’ll send you the transfer code within 14 days of you asking.

Hosting and maintenance

If your site runs on my hosting, it sits on a server I manage myself. I look after it with proper care, but no host can promise 100% uptime and I don’t either.

Hosting and maintenance renew automatically. Either of us can cancel with 30 days’ written notice. Money already paid for the current period isn’t refunded, unless you’re leaving because I’ve seriously let you down. If I change prices, I’ll give you at least 30 days’ notice and you can cancel before the new price starts.

When you leave, I’ll give you one full copy of your website files and database. I keep your data for 30 days after that, then delete it.

You can’t use my hosting for anything illegal, for spam or malware, or in a way that puts the server or other customers at risk. If that happens, or if your site is hacked and causing harm, I may take it offline. I’ll tell you why, only do what’s needed, and bring it back as soon as the problem is fixed.

What I can’t promise

  • A particular position on Google, a number of enquiries or a level of sales. Nobody can honestly promise that.
  • That a website can never be hacked. I keep sites updated, backed up and monitored, but no system is completely secure.
  • That third-party plugins and services will keep working the same way forever.

Backups are there for emergencies, not as a permanent archive, so please keep your own copies of anything important.

You’re responsible for what’s published on your website, including your own privacy notice, cookie banner and terms, unless you’ve specifically paid me to set these up. I build websites. I don’t give legal, tax or marketing advice.

Showing your site as an example

I may show your finished site in my portfolio. If you’d rather I didn’t, tell me and I’ll remove it within 30 days.

Liability

Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law doesn’t allow to be limited.

Otherwise, I’m not responsible for loss of profit, revenue, business or opportunity. My total liability for a project is limited to the price of that project. For hosting or maintenance it is limited to the fees you paid in the previous 12 months, or £500, whichever is higher.

Confidentiality

Passwords, access details and anything you share in confidence stay between us.

Using this website

The articles and information on this website are general guidance, not professional advice for your particular situation. The text, design and images on this site belong to Medisoma Ltd unless stated otherwise, so please don’t copy them without asking. Links to other websites are there for convenience, and I’m not responsible for their content.

How I handle personal information is explained in the Privacy Policy.

If something goes wrong

Email me first. Most things get sorted within a day or two. If we can’t agree, we’ll try to settle it within 21 days, and we can use mediation if we both want to.

These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.

Changes to these terms

I may update this page from time to time. Signed agreements stay as signed, and the date at the top shows when this page last changed.

How much does a website cost?
The cost of a website depends on the size of the project, the number of pages, the design requirements, and the features your business needs. A simple brochure website will usually cost less than a larger website with advanced functionality or an online shop.

Our standard website projects start from £400, with most small business websites costing between £800 and £1,200. eCommerce websites start from £800, although the final price will depend on the number of products, payment options, delivery requirements, and any additional integrations.

Before providing a quote, we’ll discuss your business, the purpose of the website, the pages you need, and any features you would like to include. You’ll then receive a clear, itemised quotation within 1–2 working days, so you know exactly what is included before deciding to proceed.
Most small business websites take approximately 2–4 weeks to design, build, test, and prepare for launch. Smaller websites with ready-to-use content may be completed sooner, while websites with more pages, custom features, or additional integrations may require more time.

eCommerce websites usually take around 3–5 weeks, depending on the number of products, payment and delivery setup, product information, and any third-party integrations that need to be configured.

The project timeline begins once the required content, images, access details, and project information have been provided. Delays can occur if content or feedback is not available when needed, so we’ll keep you informed throughout the project and let you know what is required at each stage.
Yes. Your website will be built using an easy-to-manage content management system, allowing you to update text, images, pages, blog posts, products, and other content without needing to write code.

Before the website goes live, we can show you how to make common updates, such as editing page content, adding images, managing products, and updating basic website information.

If you prefer not to manage the website yourself, we can also provide ongoing maintenance and support. This may include content updates, plugin updates, security checks, backups, troubleshooting, and general technical assistance.
Launching your website is not the end of the process. Once your website is live, we can continue to support you with technical assistance, WordPress updates, security checks, backups, performance monitoring, and ongoing improvements.

If you notice a problem after launch, or if you need help making changes, you can contact us and we’ll review the issue. We’ll explain what needs to be done and recommend the most suitable solution.

For clients who want ongoing protection and support, we also offer website maintenance, managed WordPress hosting, regular backups, security monitoring, and performance optimisation.

The level of support depends on the service you choose, so we’ll explain what is included before you start.
No reputable SEO provider can guarantee a number-one position on Google. Search rankings depend on many factors, including competition, search demand, website quality, technical performance, content, location, and ongoing changes to search algorithms. Google itself advises businesses to be cautious of anyone promising guaranteed first-place rankings.

What we can do is give your website a strong SEO foundation. This may include improving the website structure, making important pages easier for search engines to understand, addressing technical issues, improving page speed, optimising on-page content, and ensuring the website provides a clear experience for visitors.

SEO is an ongoing process rather than a one-time guarantee. Results can take time and will vary depending on your industry, competitors, website history, and the amount of work involved. We focus on practical improvements that help your website become more visible to relevant people over time.
